EVENT POLICIES

Registration and Attendance

  • All attendees must register in advance to participate in the conference.

  • Badges must be worn at all times during the conference.

  • Scanners will be used this year to check you into each session you attend.

  • In the event you cannot attend the Conference you may transfer your registration or you may be eligible for a refund. Registration transfers or refunds must be arranged with NGLCC by emailing conference@nglcc.org before the start of the conference.

Code of Conduct

  • All participants are expected to treat each other with respect and courtesy.

  • Harassment or discrimination based on race, gender, sexual orientation, or any other protected characteristic will not be tolerated.

  • Participants violating the code of conduct may be asked to leave the conference without a refund.

Photography and Recording

  • Photography and recording of sessions are generally allowed but should not disrupt the event or infringe on the privacy of others.

  • Professional photography and recording must be approved in advance.

Intellectual Property

  • Respect the intellectual property rights of speakers, exhibitors, and sponsors.

  • Unauthorized distribution or reproduction of conference materials is prohibited.

Sponsorship and Exhibitor Guidelines

  • Sponsors and exhibitors must adhere to the guidelines provided by the conference organizers.

  • Any promotional materials must be pre-approved by the organizers.

Networking and Social Events

  • The consumption of alcoholic beverages must comply with local laws and venue policies.

  • All codes of conduct for the conference will be upheld at all networking, social events, and receptions hosted at the conference. Behavior that is not aligned the the code of conduct or deemed inappropriate by event coordinators will result in an individual being escorted outside of the venue. 

Cancellation and Refund Policy

  • The organizers reserve the right to cancel or reschedule the event due to unforeseen circumstances.

  • In case of cancellation, reasonable efforts will be made to refund registration fees.

  • NGLCC Conference registration refund policy - Refunds will be honored until July 3, 2024, with a $75 processing fee. After that date, no refunds will be granted, and all sales are final.

Health and Safety

  • Follow all health and safety protocols established by local authorities and the conference venue.

  • Stay informed about emergency procedures and evacuation routes by looking to the appropriate menu within your Conference app and listening to safety instructions at the onset of the conference

  • The conference and all associated activities will be monitored by event security. Event security is present to protect your well being. If you see something, say something, and please feel empowered to reach out to event security with any concerns

  • All conference attendees must acknowledge and approve the Covid-19 Waiver within their registration.

Accessibility

  • The NGLCC is committed to providing an outstanding experience for all participants. We strive for full access to the activities of these events based on an awareness of participants' needs and appropriate planning. Accessibility accommodations relating to mobility, hearing, vision, or other areas may be provided pending notification to NGLCC conference planning team via registration. All NGLCC Conference attendees will have the opportunity to request accommodations via their registration.  We ask that requests for reasonable accommodations be made via the registration process by July 1, 2024. This deadline allows our team to source the necessary vendors to provide the requested accommodations. Onsite requests will be accommodated to the best of our ability; however, available resources may be limited. 

Updates and Changes

  • The organizers reserve the right to make changes to the conference schedule, speakers, or any other aspect of the event.

  • Attendees will be notified of any significant changes.
